Privacy Policy

The service operator is Coach AI Cloud Suite ("Coach AI"). This policy explains what information Coach AI handles when you use its website, account, workspace, scheduling, reminders, scouting, sharing, integrations, and AI-assisted features.
Information Coach AI handles
- Account information: name, email address, authentication details handled by the authentication provider, program name, workspace membership, and role.
- Workspace content: schedules, events, reminders, people, recruiting or travel details, scouting reports, uploaded media, notes, exports, permissions, and related activity.
- AI requests: prompts, attached schedule information, and generated responses needed to provide assistant or scouting features.
- Connected-service information: identifiers, calendar data, and authorization tokens needed when you connect Google Calendar or use email delivery. Passwords for connected services are not requested by Coach AI.
- Technical information: session cookies, request and error logs, browser or device details, IP address, and public-site usage events collected by hosting and analytics tools.
How information is used
Information is used to authenticate users; provide and maintain workspaces; save, sync, export, and share content at your direction; detect conflicts; send requested reminders; generate AI-assisted drafts; protect the service; troubleshoot problems; and understand public-site usage.
Services that process information
Coach AI relies on service providers for hosting and analytics, Supabase authentication and data storage, Google Calendar integration, email delivery, and AI model processing. Each provider receives only the information needed for the feature being used. Optional integrations send data only when connected or requested.
Sharing and public links
Workspace information is available to members according to their roles. A user with permission can create a scouting share link for selected published content; anyone who receives a valid link may be able to view that content until the link expires or is revoked. Coach AI may disclose information when required by law or needed to protect users and the service. Coach AI does not sell personal information.
Cookies and analytics
Coach AI uses cookies needed to keep users signed in and protect account sessions. The public website may use Vercel Analytics to collect basic usage events. Public scouting share pages are designed without analytics telemetry.
Storage and retention
Account and workspace information is kept while needed to provide the service and for legitimate security, backup, troubleshooting, or legal purposes. Retention can vary by data type and provider. Do not use Coach AI as the only copy of important program records.
Your choices
You can choose what workspace content to enter, whether to connect Google Calendar, whether to use AI-assisted features, and whether to create or revoke scouting share links. Workspace tools allow authorized users to update data and create backups. If your account was provided by a team, school, or other organization, contact your workspace administrator about account access or privacy requests.
Security
Coach AI uses access controls and HTTP-only session cookies and relies on configured providers to protect authentication and stored data. No system can guarantee absolute security. Keep credentials and public share links private, and report suspected unauthorized access to your workspace administrator.
Children and student-athlete information
Coach AI is intended for authorized program operations, not for children to create accounts independently. Organizations using Coach AI are responsible for having authority to enter and share student-athlete or recruit information and for following applicable privacy and athletics rules.

If this policy changes, the updated version and date will appear on this page.
